Asaan School — Privacy Policy

1. Who this applies to

• Students (and, where the school permits, a parent/guardian using a shared or monitored account)
• Teachers
• Headmasters and School Admins

Each school's data on the platform is kept separate from every other school's.

2. Information we collect

a) Account & login information

Your username/login and password are used only to authenticate you. Your password is sent securely to our servers to verify your identity — the App never stores your password on the device. After signing in, the App stores a device-scoped session token locally so you don't need to log in every time.

b) Profile information

Name, role (student/teacher/headmaster/admin), username, email address, profile photo, and your school's name/logo — all supplied by your school's records and shown back to you in the App.

c) Attendance information

Attendance status, check-in/check-out times, the method/device used to record it, and (for students) GR/roll number, class and timetable — recorded by your school as part of normal attendance-taking. If your role allows you to mark attendance for others, the App also sends the attendance records you enter for those students or teachers.

d) QR / barcode scanning (Scan Attendance)

If your role allows scan-based attendance, the App uses your device's camera to read a QR code. The camera image is analyzed on your device (using Google's ML Kit) and never leaves the device — only the resulting scanned code (a short token identifying the attendance record) is sent to our servers.

e) Fee information

Fee demands, payments and balances recorded by your school are shown to you in the App. The App itself does not process or collect payments — it only displays fee information your school has already recorded.

f) Notifications

The App periodically checks for notifications (attendance, fee and school updates) your school has sent and displays them, including as a local device notification if you've granted notification permission. We do not use a third-party push notification service — notifications are shown only while the App is open or briefly checking in, not delivered while it's fully closed.

g) Technical information

Standard information inherent to any network request (such as IP address and timestamp) is processed by our servers as part of normal operation and security logging. The App also stores, locally on your device, the server address it connects to — for almost all users this is always https://school.asaan.tech.

3. Information we do not collect

• We do not access your device's location or GPS.
• We do not access your contacts, SMS, microphone, files, or photo gallery.
• We do not use advertising SDKs, and the App shows no ads.
• We do not use third-party analytics or crash-reporting SDKs inside the App.
• We do not sell your personal information to anyone, for any purpose.

4. Permissions the App requests, and why

• Internet — required to communicate with your school's Asaan School account.
• Camera — used only for QR/barcode-based attendance scanning (staff/admin roles); never used to capture or store photos or video.
• Notifications (Android 13+) — required to show local alerts about attendance, fees and school updates while the App is running.

No other permissions are requested.

5. How we use your information

• To authenticate you and keep you signed in.
• To show you the attendance, fee, timetable and notification information your school has made available to your account.
• To let authorized staff (teachers/admins) record attendance for the classes or school they're responsible for.
• To maintain the security and reliability of the Service (e.g., detecting abuse, debugging).

We do not use your information for advertising, profiling, or any purpose unrelated to operating the Service for your school.

6. Who your information is shared with

• Your school — all data in the App belongs to and is controlled by your school's records on the platform.
• Service providers — we use standard infrastructure providers (e.g., hosting) strictly to operate the Service; they do not use your data for their own purposes.
• We do not share your personal information with advertisers or data brokers.
• We may disclose information if required by law, or to protect the rights, safety or property of Asaan Tech, our schools, or their users.

7. Children's privacy

Asaan School is a school information system used under the authority of schools registered on the platform, and by design includes accounts for students who may be under 18 (including under 13 in some cases). Student accounts and their associated data are created and managed by the school, which is responsible for obtaining any parental/guardian consent required under its own policies and applicable law before a student's account is used. We do not knowingly collect information directly from children outside of this school-managed context, and the App contains no advertising, in-app purchases, or open communication features (chat, comments, etc.) between users.

8. Data retention

Information remains available through the App for as long as your school's account on the platform is active and your account has access to it. If your school deactivates your account, or your school's subscription ends, your access through the App ends accordingly. Requests to delete personal data should be directed to your school, which controls the underlying records; your school can in turn contact us to action platform-level deletion.

9. Data security

• All communication between the App and our servers is encrypted using HTTPS/TLS. The App only permits unencrypted (cleartext) connections to local development addresses (e.g. 10.0.2.2, localhost) used by developers testing the App — never to the live service.
• Your session token is stored in the App's private, sandboxed storage and is not accessible to other apps.
• Access to school data on our servers is role-based, so each person can only see the information their role and school permit.

10. Your rights and choices

• You can log out at any time from the App's Settings screen, which clears your locally stored session.
• To review, correct, or request deletion of your personal information, contact your school administrator, or reach us directly (below) and we will coordinate with your school.
• If you are in a jurisdiction that grants specific data protection rights (e.g. access, correction, deletion, portability, or objection to processing), we will honor applicable requests to the extent required by law.

11. Changes to this policy

We may update this Privacy Policy from time to time, for example as the App gains new features. We'll update the "Last updated" date above, and where changes are significant, we'll make reasonable efforts to notify schools in advance.
